Exceptional Part Time opportunity (24hrs/wk) for an experienced Administrative Assistant at the Long Creek Youth Development Center in South Portland.

Perform routine clerical and administrative functions such as drafting correspondence, scheduling appointments, organizing and maintaining paper and electronic files and preparing reports. Function as a communication link and resource for information within the healthcare unit.

ESSENTIAL DUTIES:

1. Process correspondence in a timely and systematic manner.
1. Receive notes and route correspondence to the Health Services Administrator and other personnel within and outside the healthcare unit, as appropriate.
2. Prepare and send out-going correspondence as directed.
3. Distribute meeting minutes and action item lists to committee members and other personnel as required.

2. Compile and prepare reports and documents accurately.
1. Prepare payroll for exempt, non-exempt and contracted employees as appropriate.
2. Prepare clinical and operational reports for the Health Services Administrator and Medical Director.
3. Record and transcribe committee and other meeting minutes and prepare action item lists.
4. Compile projects and reports from other healthcare staff as assigned by the Health Services Administrator.

3. Classify and file all documents to be maintained in the office in a retrievable system.
4. Maintain personnel files/tracking system for credentials, CEU and meeting attendance of staff.
5. Foster relationships with outside providers, to include billing. Maintain database for outside consults, working with corporate claims department.
6. Process incoming invoices, claims/ maintain, reconcile petty cash/ process accounts receivable i.e., copies for medical records.
7. Schedule meetings, appointments and work assignments to meet or exceed deadlines.
1. Schedule meetings and appointments as assigned and notify those attending.
2. Schedule contract physician hours as requested by the Medical Director.
3. Prepare calendar to reflect scheduled events as necessary. Maintain HSA/site manager’s calendar on a daily basis, to address and/or correct conflicting meeting times, etc.

8. Communicate effectively and demonstrate respect, concern and courtesy in all interpersonal communications.
1. Protect confidentiality of information in written and verbal communications.
2. Facilitate communication between the Health Services Administrator and other healthcare personnel by providing information concerning procedures, reports, directives and instructions in an accurate, concise and timely manner.
3. Interact with correctional staff positively and cooperatively.

9. Monitors supplies, equipment and services required in the healthcare unit.
1. Requisitions supplies, printing, maintenance and other services.

1. May be responsible for maintaining employee files.
2. May be responsible for organizing and maintaining ACA/NCCHC files for audit.
3. Maintain skills and continue professional development to enhance the operations and image of the organization.
1. Attend in-service and continuing education to obtain and maintain skills as appropriate.
2. Support the change process to improve the organization and the healthcare unit.
3. Accept assignments and extra duties with flexibility and willingness to participate in activities that help the healthcare unit meet its goal.

4. Adhere to personnel policies to enhance the operation of the healthcare unit.
1. Adhere to attendance policy.
2. Report to work at designated time.
3. Adhere to security policies.

5. Assist in completion of special projects on an as needed basis.

EOE/AAP

Education: High school graduate or equivalent.

Experience Level: 2 years experience as a secretary or administrative assistant.

Tools and Technology: MS Office Suite (Outlook, PowerPoint, Word and Excel).

Language Ability: Read and comprehend simple instructions, short correspondence and memos. Write simple correspondence. Effectively present information in one-on-one and small group situations to customers, clients and other employees of the organization.

Reasoning Ability: Common sense understanding to carry out instructions furnished in written, oral or diagram form. Deal with problems involving several concrete variables in standardized situations.

Physical Demands: Must have and maintain sufficient strength, agility, and endurance to perform during stressful (physical, mental and emotional) situations encountered on the job without compromising your health and well-being or that of your fellow employees.
